You can finalize a delivery any time after the member’s customization period is over. However, because completing the finalization process will result in “Your box is on its way…” emails being sent to your members and the member’s weekly payments being processed, we generally recommend that you wait until the day of delivery or the night before to complete the finalization process.
Once the member customization period is over, it is possible to see your product pick list without completing the finalization process. Just go to the Deliveries page and click the “Pick List” button next to the delivery. You can also view individual member boxes by clicking the “Preview Boxes” button.
The only things you can’t do prior to finalization is print your box labels or driver reports.
To finalize delivery, click the “Finalize” button next to the delivery and follow these steps:
- Scan each item in the delivery list and make sure that the number in the “Available Inventory” field is greater than the number in the “Box Amount” field. The “Box Amount” is the amount of that product actually required to fulfill all of this delivery’s boxes. If you have the appropriate inventory, click the green [ + ] button to add enough inventory to bring the inventory at least equal to the box amount field.
- If it turns out you have insufficient inventory of an item, click the pink [ + ] button. A pop-up window will come up. Click the checkbox in that window and then type up whatever message you want to provide to your members, i.e. “Due to inclement weather we have a shortage of X, we will be substituting Y instead.” This message will be included in the email sent to members who have that product in their boxes. Note: an asterisk will show on your labels for your shortages and the note will show in their email. The customer can be compensated for this shortage by replacing it with another farm product, which can also be referenced in the message.
- Once you’ve added all of the necessary inventory or accounted for any shortages, click the “Finalize Delivery” button. If there are still any inventory shortages, it should provide you with an error message and ask you to correct them. Otherwise, it should show a success message saying the payments were processed, that X emails were sent and that the delivery was successfully finalized. It will also provide you with links to print labels, pick lists, and driver reports as well as showing you the final box contents for each member.
